Appointment Deposit
We require a deposit for a new client at the time of booking. This deposit is applied directly to your visit total and helps us reserve dedicated time for you and your pet.
Cancellation Policy
We understand that schedules change. If you need to cancel or reschedule, please give us at least 24 hours’ notice. Cancellations with less than 24 hours’ notice will result in forfeiture of the deposit.

Complete Your Forms
New client forms can be completed digitally when booking your appointment online — no printing or scanning required. Forms must be submitted at least 24 hours before your visit so our team has time to review them. Please submit them through the ChckVet or email them to info@keystonevet.com.

Transfer Medical Records
If your pet has been seen at another practice, their medical records must be submitted to info@keystonevet.com at least 24 hours before your appointment. If vaccination records are not received prior to the scheduled appointment, vaccination boosters will be required for your pet to be considered fully vaccinated. Reviewing your pet’s history in advance allows our team to make the most of your time together.

What to Bring
- A list of current medications and supplements, including dosages
- A fresh fecal sample (collected within 24 hours of your appointment)
- Your pet’s favorite treats — we love making new friends
- Any questions or concerns you’d like to discuss

A Warm Welcome
Our team will greet you warmly and help your pet settle in. We take our time — there’s no rushing here.
Getting to Know You
We’ll spend time learning about your pet’s history, lifestyle, diet, and behavior, and we’ll listen carefully to any concerns you’ve been noticing at home.
Comprehensive Exam
Dr. Hoffman will conduct a thorough nose-to-tail physical examination, assessing your pet’s overall health and identifying anything that warrants attention.
Open Discussion
We’ll walk you through our findings in plain language, answer all your questions, and work together to build a care plan that fits your pet’s needs and your family’s priorities. We’ll never recommend something your pet doesn’t need.
Clear Next Steps
Before you leave, you’ll have a clear understanding of any follow-up care, medications, or recommendations. You’ll never walk out wondering what comes next.

Payment Methods
Accepted forms of payment are all major credit cards or cash. We also accept CareCredit and Cherry payment plans for added flexibility. Please note that we do not accept personal checks.
Payment at Time of Service
Payment is due at the time services are rendered. We believe in transparency — we’ll always discuss costs with you upfront and provide estimates for more involved procedures before we proceed.
Third-Party Financing
For larger or unexpected expenses, we offer financing options through Cherry and CareCredit. We’re happy to walk you through both options to find what works best for your situation.
Pet Insurance
We’re happy to provide the documentation you need to submit claims to your pet insurance provider. While we don’t file claims directly, we’ll make sure you have everything required for a smooth submission.
